Navigating Brain

Brain has one sidebar with all its sections in a single list. Every list page, from Contacts to Tasks, works the same way: search, filters, columns you can arrange, CSV export and actions on several rows at once. This article explains the parts you find everywhere, so you only have to learn them once.

The frame around Brain, with the topbar, the notification bell, the Help menu and your user menu, is shared by all of Nucleo. See The Nucleo shell for those parts.

Find your way in the sidebar

At the top of the sidebar, the company switcher shows the company you're working on, and below it the module selector shows that you're in Brain. Under them, Brain's sections are listed in this order. Sections with sub-pages show them indented underneath.

Brain's company-wide settings, such as users and roles, connections, branding and templates, open from Settings at the bottom of the rail, on the far left of the screen. See Brain settings. The collapse handle shrinks the sidebar to icons. When the sidebar is collapsed, click the module icon at the top to expand it again.

Tip
Your company might not use every section. For example, Pro formas doesn't appear for companies whose invoicing doesn't use them.

Switch company

If you belong to more than one company, the company switcher at the top of the sidebar becomes a menu. Everything in Brain, from the Home to the lists, then shows the data of the company you pick.

Steps

  1. In the sidebar, click the company name at the top.
  2. Select the company you want to work on.

Brain reloads on the company you chose. For more about companies and modules, see Switching companies and modules.

Understand what you can see

Every section of the sidebar needs its own view permission in your role, for example to see Inbox, Tasks, Deals or Finance. A section you can't open doesn't appear in the sidebar at all. If you open a direct link to a page you're not allowed to see, Brain sends you back to your Home.

  • Reports shows only the reports of the areas you can see. For example, without access to Finance, the Finance report isn't listed.
  • People appears if you can see either the team or the fleet, and shows only the sub-pages you have access to.
  • Owners have every permission, including sections added in the future.
Note
If a section or a button described in these guides is missing for you, ask an Owner or Admin to review your roles in Users and roles.

Search, filter and sort a list

List pages share the same toolbar above the table: a search box on the left, and the filters icon, Export and the columns icon on the right. The filters available depend on the list, and they're described in the article about each list.

Steps

  1. In Nucleo, go to a list in Brain, such as Contacts or Tasks.
  2. Type in the search box to narrow the list. On most lists, the search also matches email addresses and web domains, so you can find a contact from part of their email or a company from its website.
  3. Optional: Click the filters icon to open the Filters panel, and pick the values you want. A dot on the icon shows that filters are active.
  4. Click a column header to sort by that column, where sorting is available.
  5. Click a row to open the record. You can also move between rows with the Tab key and press Enter to open one.

Long lists are split into pages. Use the controls under the table to move between pages and, where offered, to choose how many rows to show per page (for example 25, 50 or 100).

Arrange the columns of a list

You can choose which columns a list shows, in what order and how wide. Your layout is saved in your browser for that list, so it's still there next time you open it on the same computer.

Steps

  1. Open the list and click the columns icon in the toolbar. The Columns menu opens.
  2. Do any of the following:
    1. To hide or show a column, click its name. Some columns, such as the record name, can't be hidden.
    2. To reorder columns, drag a column up or down in the menu. You can also drag a column header in the table.
    3. To go back to the default layout, click Reset layout.
  3. To change a column's width, drag the edge of its header in the table.
Note
Because the layout is stored in your browser, it doesn't follow you to another computer or browser, and clearing your browser data resets it.

Export a list to CSV

Steps

  1. Open the list, and use the search and filters to show the rows you want.
  2. Optional: Use the Columns menu to show only the columns you want in the file.
  3. Click Export.

Your browser downloads a CSV file with the visible columns and the rows currently shown on the page. To export more rows, show more rows per page or export each page.

Act on several records at once

Lists such as Contacts, Leads, Companies, Deals, Quotes, Contracts and Projects let you select rows and change them together. The actions offered depend on the list, for example assigning an owner, setting a stage or a status, or archiving.

Steps

  1. Open the list and select the checkbox of each row you want. To select every row on the current page, select the checkbox in the header.
  2. The header of the table turns into a selection bar that shows how many rows are selected.
  3. Choose an action:
    1. For a field, such as the owner, pick the new value from its menu. The change applies right away to all the selected rows.
    2. For an action that needs confirmation, such as Archive, click it once, and then click the confirm button that appears, for example Confirm: Archive 12.
  4. To leave the selection without changing anything, click Clear.

A message tells you how many records were updated, and the list refreshes.

Open Atomo on a record

On contacts, leads, companies, deals, quotes, contracts and projects, the Atomo button opens the assistant with that record already loaded. Atomo sums up where the record stands, proposes what to do next and acts only after you agree.

Steps

  1. Do one of the following:
    1. In a list, hover over a row and click the Atomo icon.
    2. On a record page, click Atomo in the header.
  2. Read Atomo's summary in the panel and tell it what you want to do.
  3. Confirm when Atomo asks. It then makes the change, such as updating the record, adding a note, creating a task or preparing a message, and gives you a link to the result.

For everything Atomo can do in Brain, see Using Atomo in Brain.
