Reports

Reports gives each area of Brain its own overview: Leads, Contacts, Companies, Sales, Quotes, Contracts, Projects and Finance. Each report has its key figures at the top, a chart by month, and breakdowns by owner, stage or category.

You find them under Brain > Reports. Each report follows the permission of its area: without access to deals you don't see Sales, and without View finance you don't see Finance. If you can open none of the areas, Reports disappears from the sidebar.

Open a report

Steps

  1. In Nucleo, go to Brain > Reports, and then click the report you want.
  2. Optional: choose the period with the buttons at the top: This year (the default), Last 12 months or Previous year. Leads, Contacts and Companies also offer All.
  3. Read the figures. Charts by month also draw last year's line (marked LY), so you can compare each month with the same month a year earlier.
  4. Click a figure, a stage, a status or an owner to open the list of records behind it.

The period you choose stays when you move to another report from the sidebar, and Brain remembers it on this browser. Contracts has no period: it always shows the current state of your contracts. The Finance report has its own period bar, described below.

What each report shows

ReportWhat it shows
LeadsOpen leads right now; leads acquired, converted and archived in the period; the conversion rate; leads by source (click a source to open its leads); leads acquired by month.
ContactsTotal contacts, with and without a company, open leads, new contacts in the period and newsletter subscribers (contacts with an active marketing consent). A chart shows subscriptions and unsubscriptions per month, with the active total at month end. See Consents.

SalesOpen deals, deals won and lost in the period, win rate over all time, average won value and the weighted forecast (each open deal multiplied by its stage probability); the pipeline by stage and deals by owner, each opening the matching deals.
QuotesQuotes created in the period and their average value; quotes by status over all time; quotes created by month and by owner.
ContractsActive contracts, contracts expiring within 90 days, upcoming auto-renewals, pending and expired contracts; active contracts by counterparty relationship and by signing method; contracts signed by month over the last 24 months; owners.
ProjectsTotal projects, projects started in the period, projects ending within 60 days, open budget; projects by status and by project manager.

Read the Finance report

The Finance report uses the same period bar as the Finance lists, with seven period buttons, a custom range of months and Compare vs last year. With the comparison on, every figure shows its change against the same period of last year.

Considerations for reports

  • Reports read the same data as the lists. A figure that looks wrong usually points to a record to fix: a deal without a stage, a company without an industry, a contract without an end date.
  • Finance figures follow your accounting system and update with its nightly sync.
  • The report pages replace the old overview pages of each area: old links to them open the matching report.
