Using Atomo in Brain

In Brain, Atomo opens as a column on the right of the page, so you keep your work in view while you talk to it. When Atomo changes something, the page on the left opens on what it did.

Using Atomo needs the permission to use Atomo, which every working role has. Read-only users see a message asking them to contact an Owner for a working role. See Users and roles.

Open Atomo

FromWhat happens
The Atomo button in the bottom-right cornerOpens Atomo on a new chat, from any page. On a phone it opens full screen.
The Atomo button on a recordOpens Atomo on that record. You find it on contacts, leads, companies, deals, quotes, contracts and projects, on the record page and on each row of their lists. Atomo reads the record, sums up where it stands in two or three lines, proposes what could be done next, and changes nothing before your yes.
Ask Atomo on the Home page, or the Atomo button on a Home suggestionOpens Atomo on that question or suggestion. See The home page.

To close Atomo, press Esc or click the close button. Closing the panel always stops the microphone.

Tip
The corner button doesn't know which page you are on. To work on a specific record, use that record's own Atomo button: each record and each suggestion keeps its own conversation, which reopens when you click it again.

Write to Atomo

Steps

  1. Open Atomo.
  2. Type your request in plain language, such as Which deals with Acme are still open?. On an empty chat, you can also start from a shortcut, such as Which open deals need attention?, Who should I follow up with today? or Create a new contact.
  3. Press Enter to send. Shift + Enter starts a new line.

Replies link to the records they mention: click a name to open it. When Atomo needs a choice, it offers quick-reply buttons. When it asks before going ahead, it shows Confirm and Cancel.

Talk to Atomo

Steps

  1. Open Atomo. With the message box empty, click Talk to Atomo, which takes the place of Send.
  2. Optional: click the language code next to the message box to pick the language you speak: Italian, English, French, German or Spanish. From the same menu, under Atomo's voice, you can choose the voice.
  3. Speak normally. Atomo shows when it is listening, thinking and answering. Tap the square to interrupt it and speak.
  4. Click End the conversation when you are done.

Voice uses the same tools, permissions and history as the chat. Every turn is saved in the conversation, spoken replies are kept short with the details in the chat, and a spoken "yes" counts as a confirmation.

Tip
To dictate a written message instead of having a conversation, click the microphone button.
Note
If the browser blocks the microphone, allow it in the browser settings and try again.

  2. Do one of the following:
    1. Click a chat to reopen it where you left off.
    2. Click Rename to give it a clearer title, and then Save.
    3. Click Delete, and then confirm. The chat is removed everywhere.

To start over, click New chat. Your Brain chats with Atomo are also listed in Inbox > AI.

What Atomo can do in Brain

AreaWhat Atomo does
Find and readContacts, companies and their timeline, deals and the content of their documents (the HTML of generated ones, the text of uploaded files), quotes, contracts, projects with their phases and tasks, services, emails and certified emails (PEC) with their attachments (spreadsheets one sheet at a time, with their computed values), chat messages, drafts, Knowledge pages and document templates. With the permission to see Finance, also invoices, expenses, bank accounts and movements, and finance scenarios. With the permission to manage privacy requests, also privacy requests.
Your calendar and DriveThe events of your own Google Calendar, up to 62 days at a time, to check your meetings with a client, and the Google Drive files and folders you give it a link to, with your own Google account.
Create and updateContacts and companies (it first checks whether they already exist, and tells you instead of creating a duplicate), deals (it warns you if the company already has open deals), projects and their phases, tasks, notes, quotes, contracts, services, finance scenarios, contact email addresses, candidates, the title, type, language and expiry of deal documents, and the Slack channel of a deal (an existing one, or a new one after your yes). Each change follows the permissions of your role and is noted on the record's timeline.
Write documentsQuotes, contracts and assessments from your document templates, saved on the deal. It can also draft or change a template, after your yes.
Bring in email attachmentsAdds an attachment from an email, even one you sent, to the right deal: as a contract, signed when it's the countersigned copy, or as a deal document.
Sign documentsSends a deal document to Documenso for signature, with the signers you name, colleagues or clients, without emailing it first. When everyone has signed, the signed PDF becomes a new version of the document and a draft to the client is ready. If your Documenso plan has reached its monthly limit, it tells you before you confirm.
Prepare messagesEmail and Slack drafts, with attachments: CRM files, email attachments, Google Drive files (Google Docs, Sheets and Slides are attached as PDF) and files it has just produced, without saving them on a deal. When you confirm, it sends them as you, or deletes a draft you no longer need.
Tidy upMerges duplicate contacts, companies or tasks, moves a company with nothing linked to it to the trash, hands a Home suggestion to a colleague or closes it, and checks your open suggestions against what happened since.
Grow the KnowledgeAnswers "how do we do X" from your Knowledge, citing the page, and proposes new pages for an area owner to publish.
Work on your websitesWhen your company is linked to a website, creates and edits pages as drafts. See Atomo on your sites.
Note
Atomo doesn't delete your records, such as contacts, companies or deals: where Brain has an archive, such as for contacts and services, it archives instead, and a company it trashes can be restored. It reads your calendar but doesn't create or move events. Invoices, expenses and bank movements come from your accounting system and your bank, so Atomo only reads them. It doesn't carry out privacy requests either: those stay with a person, in Compliance.

When Atomo asks first

Clear requests are carried out straight away: creating a contact, a company, a deal, a task, a note or a draft, or editing a single item. Atomo then tells you in one sentence what it did. If a request is ambiguous, such as a name that matches several companies, it asks one question.

Atomo always asks for your confirmation before:

  • Deleting anything.
  • Changing several items at once.
  • Sending anything outside the company: emails, messages, Slack.
  • Merging contacts or tasks.
  • Signing a document.
  • Publishing to your website.

It shows in one sentence what it is about to do and waits for your yes.
