Rights and metadata

Commercial photography comes with obligations: who shot it, where, and until when you may use it. Every asset can carry its rights and licensing next to the metadata read from the file, so the information is in the same place as the image. Nucleo warns you when a license is about to expire.

You find both on the Metadata and rights tab of the asset page. Editing rights needs the Editor role or higher.

Read the file metadata

The Metadata card shows what Nucleo read from the file when it was uploaded. It's read-only and grouped in sections you can open and close; File and EXIF start open. Next to each section, a number says how many values the file carries.

SectionWhat it shows
FileOriginal filename, Size, Dimensions, MIME type, Duration for video, and the Uploaded date.
EXIFCapture details: Camera, Lens, ISO, Aperture, Shutter, Taken at, GPS position, and any other value the camera wrote.
IPTCByline and Copyright embedded in the file.
XMPListed, but always empty today.

Record rights and licensing

Steps

  1. Open the asset page and click the Metadata and rights tab.
  2. In Rights & licensing, fill in what you know:
    1. Photographer: the photographer or studio.
    2. Shoot date: the day of the shoot.
    3. Location: where it was shot.
    4. Expires: the day the license ends. Leave it empty if the license doesn't expire: the field then says perpetual.
    5. Copyright: the copyright line, such as © 2026 Your Company.
  3. Click outside a text field, or press Enter, to save it. Dates are saved as soon as you pick them.

A message, Rights updated, confirms each change.

Tip
Compare Copyright in Rights & licensing with the copyright in the IPTC section. When they differ, the rights you registered and the ones embedded in the file have drifted apart.

Track expiring rights

Once a file has an expiry date, Nucleo shows its state on the Library tile, in the Rights column of the list, on the Editorial tab of the product's media page and under Expires on the asset page:

StateWhat you see
More than 30 days leftNothing on the tile. The date appears under Expires.
30 days or lessAn amber countdown, such as 12 d left.
ExpiredA red Expired, and expired 3 d ago next to the date under Expires.
Note
Rights information is informative. Expired files are clearly flagged, but Nucleo doesn't block them: they can still be downloaded, shared and served through their rendition URLs. Revoke any public link that includes them. See Sharing assets.

Fill in additional fields

Below Rights & licensing, the tab shows additional fields grouped by purpose. They're the same for every file, and you fill in only the ones you need. Each field is saved when you leave it.

GroupFields
CampaignCampaign code, Budget · EUR, Usage window · end (the last day the file can run, independent of the rights expiry).
RightsApproved for paid social, Model name.
ProductionRetoucher notes, Crop policy (No crop, Crop allowed, Hero crop only, Story crop), Internal priority.
Note
These fields are informative: they don't change how the file is shared or delivered. The list of fields can't be changed from Nucleo today.
