The Library and folders

The Library is where your team keeps campaign, lookbook, social and event files, and any other file you upload to Assets. You organize it in folders, as you would on a shared drive, and you decide folder by folder who can see what's inside.

You find it at Catalog > Assets > Library. The number next to Library in the sidebar is the number of files it holds.

Browse the Library

Steps

  1. In Nucleo, go to Catalog > Assets > Library.
  2. Browse the files at the root of the Library: these are the files that aren't in any folder.
  3. To open a folder, do one of the following:
    1. Click it in the Folders tree on the right of the page. Click the arrow next to a folder to expand or collapse its subfolders.
    2. On a smaller screen, where the Folders tree moves below the files, click the folder's card above the files.
  4. To go back up, click Library or a parent folder in the path above the page title.
  5. Optional: To switch between the grid and a compact list, click the grid or list icon next to the search box. Nucleo remembers your choice on this browser.

The page title always says where you are: Library at the root, the name of the open folder, or Trash. Inside a folder you see the files it contains directly; the files in its subfolders appear when you open them. The Library shows 60 files per page: use the arrows below the files to move between pages.

Note
In a large Library, Nucleo shows the first files straight away and loads the rest in the background. While it does, a line above the files says how many have arrived, such as Loading the rest of the library… 200 of 1,450 assets.
Tip
Every folder has its own address. Bookmark it, or copy it from the browser and send it to a colleague: they land in the same folder.

Read the grid and the list

Each tile in the grid shows a preview of the file and, below it:

ElementWhat it shows
TitleThe asset's title. A new upload takes it from the file name.
TypeImage, Video, Document for PDF files or Vector for SVG files. Videos show their first frame with a play mark.
SKU countHow many products the file is linked to, such as 2 SKU. See Link products to an asset.
RightsAn amber countdown, such as 12 d left, when the license expires within 30 days, and a red Expired when it has already expired. See Rights and metadata.

The list view shows the same information in columns:

ColumnWhat it shows
AssetA thumbnail and the title.
TypeImage, Video, Document or Vector.
SKUThe number of linked products, or a dash.
RightsThe expiry warning, when there is one.

Hover over a tile or a row to show two quick actions: the open icon, which opens the asset page, and the share icon, which opens Share. Viewers see only the open icon.

Select assets and use bulk actions

Selection works like the file managers you already know:

ToDo this
Select one fileClick it.
Add or remove a file from the selectionHold Cmd (Ctrl on Windows) and click it, or press the space bar on it. Cmd-click works on folder cards too.
Open a fileDouble-click it, or select it and press Enter.
Clear the selectionPress Esc, or click Clear in the bar.

As soon as something is selected, a dark bar appears at the bottom of the page with the number of selected files, such as 3 selected, and these actions:

ActionWhat it does
Move toLists your folders. Pick one to move the selected files there.
ShareWith one file selected, opens that file's share dialog. With several, creates one public link for all of them. See Sharing assets.
DownloadDownloads the original of each selected file, one file at a time.
DeleteAsks you to confirm, then moves the selected files to the Trash.

You can also right-click any file for Open, Open in new tab, Share, Download and Move to Trash. In the Trash, the bar offers Restore and Download.

Create a folder

Steps

  1. In Nucleo, go to Catalog > Assets > Library.
  2. Open the folder where you want the new folder, or stay at the root.
  3. Click Add folder.
  4. In Folder name, enter a name, such as SS26 Lookbook.
  5. Click Create folder.

The folder is created in the place you were in, appears in the Folders tree, and a message confirms it.

To create a subfolder of any folder without opening it, hover over the folder in the Folders tree, click the menu icon, and then click Add subfolder. In the dialog, you can also change Parent folder, or pick Top level (no parent), and then click Create.

Move files and folders

Do one of the following:

  • Drag files onto a folder in the Folders tree, onto a folder card, or onto a step of the path above the title. Dragging a selected file carries the whole selection, including selected folder cards.
  • Select files and click Move to in the bar, then pick the destination folder.
  • To move files or folders back to the root, drop them on Library in the path or on the Folders heading in the tree.
  • To move a folder, drag it onto another folder, or open its menu in the Folders tree, click Move…, choose a Destination and click Move folder. Its subfolders move with it.
Note
A folder can't be moved inside itself or one of its own subfolders: those destinations don't appear in the list.

Manage who can open a folder

Each folder is either open to anyone in the workspace or restricted to a list of people. Restricted folders show a lock icon in the tree and on their card.

Steps

  1. In Nucleo, go to Catalog > Assets > Library.
  2. In the Folders tree, hover over the folder, click the menu icon, and then click Manage access.
  3. In General access, select Anyone in the workspace or Restricted.
  4. Click Add people and pick the people to add to People with access.
  5. For each person, choose Viewer or Editor. To remove someone, click the cross next to their name.
  6. Click Save access.
General accessWho can open the folder
Anyone in the workspaceEveryone with access to Catalog. The people you list get extra edit rights in the folder.
RestrictedOnly the people listed in People with access, plus Owners and Admins, who always see every folder.
  • A restriction applies to everything below the folder: if a parent folder is restricted and you're not on its list, you can't open its subfolders either.
  • People who can't open a folder still see its name, greyed out, but not the previews or the files, and they can't act on them.
  • When you restrict a folder, you're added to its list automatically, so you can't lock yourself out.
  • What each person can do inside the folder, such as uploading or deleting, also follows their Catalog role.

Delete a folder

Steps

  1. In Nucleo, go to Catalog > Assets > Library.
  2. In the Folders tree, hover over the folder, click the menu icon, and then click Delete. You can also drag the folder onto Trash, or right-click its card and click Delete folder.
  3. Read the confirmation and click Move to Trash.

The folder moves to the Trash together with its subfolders and the files inside them, so you can restore everything in one go. If the folder and its subfolders hold no files at all, Nucleo deletes it straight away instead, and a message says Empty folder deleted.

Delete and restore files

Deleted files and folders go to the Trash, at the bottom of the Folders tree. The number next to it is how many files it holds.

To delete files, do one of the following. Each one asks you to confirm with Move to Trash:

  • Select them and click Delete in the bar.
  • Right-click a file and click Move to Trash.
  • Drag files onto Trash.
  • On the asset page, click More actions, and then click Delete.

To restore files or folders:

  1. In Nucleo, go to Catalog > Assets > Library.
  2. At the bottom of the Folders tree, click Trash.
  3. Do one of the following:
    1. For a deleted folder, click Restore on its card. Its subfolders and files come back with it.
    2. For files, select them and click Restore in the bar, or right-click a file and click Restore.

A restored file whose folder is still in the Trash, or no longer exists, goes back to the root of the Library.

Caution
Items in the Trash are permanently deleted after 30 days. After that they can't be recovered, and any link or rendition URL that pointed to them stops working.

Considerations for the Library

ActionWho can do it
Browse, search, open and downloadEveryone with access to Catalog, within the folders they can open.
Upload, edit copy, tags, rights and linked products, create and move folders, manage folder access, create share linksEditors, Admins and Owners.
Delete and restore files and foldersAdmins and Owners.
  • Folders can't be renamed from the Library today. Ask Atomo to rename one, or create a new folder and move the files into it.
  • There are no collections in the Library. To hand over a set of files taken from several folders, select them and share them with one link. See Sharing assets.
  • Files linked to a product also appear on that product's page in Product assets.
