Product versions

A version records how a product was from a given date: a new revision of a garment, a change of composition, a new collection of the same item. Today's values are always the current version, and they're what channels receive. The past versions stay readable, comparable and exportable, for example to cross them with your sales.

Versions are created only when you ask: from the product with Save as new version…, or from a product import with the Valid from and Version columns. A product with no versions is simply as it is today. When a product has versions, the Publication status card of the product editor shows a Version menu.

Owners, admins and editors can create, edit and delete versions. Viewers can look at them.

Save your edits as a new version

Steps

  1. Open the product in the Global view and make your changes.
  2. In the Unsaved changes bar, click the arrow next to Save, and then click Save as new version….
  3. In New version, choose the Valid from date the new values start from.
  4. Optional: enter a Name (optional), for example rev. B.
  5. Click Save new version.

What you're saving becomes a new version from that date; before it, the product stays as it was. A message tells you the version number and how many fields changed. If nothing changed, no version is created.

Look at a past version

Steps

  1. Open the product.
  2. In the Publication status card, under Version, pick a version. Each one shows its number, its name and the date it starts from; today's carries current.

The product turns read-only, and under each field that was different you read its value in that version, such as In v1: and the value. A message tells you how many fields differ from today, with a Compare button. You can still switch tabs. To go back to today, pick the version marked current.

Compare two versions

  1. In the Publication status card, click the compare icon next to Version.
  2. In Compare versions, pick the two versions.

Only the data that changed from the first to the second is listed. If nothing changed, the window says No differences between these two versions.

Change or delete a version

Steps

  1. In the Publication status card, pick the version under Version.
  2. Click the menu next to it.
  3. Do one of the following:
    1. Click Edit date and name of the version, change the Valid from date or the name, and click Save. The date must stay between the previous and the next version.
    2. Click Delete with the version number, and then confirm with Delete version.

Deleting a version moves its data to the version before, which then lasts until the next one. Today's product doesn't change. The first version can't be deleted.

Create versions from a file and export them

  • To record many versions at once, import a product file with the Valid from or Version columns and turn on Create versions from this file. See Create product versions from a file.

Considerations for product versions

  • Channels always get the current version.
  • Every version appears in the product's Activity, next to the changes that created it. If a value differs between versions only because of a mistake, use It was an error to keep today's value in every version. See Keep one value in every version.
