Setting up Shopify

Once your store is connected, the Shopify setup brings what's already in Shopify into Nucleo, in seven steps: Markets, Products, Prices, Stock, Collections, Customers and Orders, followed by a Summary. You run each step when you're ready, and you can go back to any step later.

By default every flow goes from Shopify to Nucleo and nothing is written to Shopify. You decide, flow by flow, whether Nucleo also updates Shopify: see Choose who updates whom.

You need the owner or admin role in Catalog. Other roles see the wizard with the notice Only Catalog owners and admins can run the setup. and can't start anything.

Open the setup wizard

Steps

  1. In Nucleo, go to Catalog > Settings, and then click Connections.
  2. Under Connected, click your Shopify connection.
  3. In the Setup and flows card, click Setup wizard.

The wizard opens on Markets. Click a step at the top to jump to it, or move with Back and Next. The Summary tells you whether every flow is up to date, which flows need attention and which haven't started yet; Done takes you back to Connections.

Long steps run in the background. Started: the status updates by itself. confirms the start, and each step shows its state: In progress, Up to date or Error. If you start a step that is still running, you see This step is already running.

Note
The Setup and flows card appears on an active Shopify connection. To connect your store first, see Connecting Shopify.

Import your markets

Nucleo reads the markets of your Shopify store and creates them in Nucleo after you confirm.

Steps

  1. In the setup wizard, click Markets.
  2. Click Read preview. A table lists every Shopify market with its Countries, Currency, Languages, Prices and what happens to it In Nucleo: Created, Updated, Already the same or Not imported.
  3. Clear the checkbox of any market you don't want. Only markets that would be created or updated can be selected.
  4. Click Apply. The button tells you how many markets it applies.
  • B2B and store markets are flagged only, not imported.
  • A country that already belongs to another market in Nucleo isn't moved: the row says which market has it.
  • If the currency or language of the primary market doesn't match your company settings, a warning tells you which. Decide which one is right before applying.
  • Markets that are in Nucleo but not in Shopify are listed and kept, not deleted.

Map tags and metafields

Base fields map by themselves. Tags and metafields need a decision: after every product import Nucleo prepares a proposal for each one, including every tag without a key, and you confirm or correct it.

Steps

  1. On the Shopify connection, open the Tag and metafield mapping card under Setup and flows, or click More actions > Change mapping on the Products and variants row.
  2. For each row, check the proposal and, in In Nucleo, pick the attribute that receives the value, a new attribute, or Ignore.
  3. For a new attribute, click Settings to choose its Name, Code and Type, and whether it's Translatable, and then click Save.
  4. Click Confirm.
ColumnWhat it shows
Shopify fieldThe key, and whether it's a Product metafield, a Variant metafield, a Tag with prefix or a Tag.
CoverageThe share of products that have a value.
ExamplesA few values found in your store.
ProposalNew attribute, Existing attribute or Ignore, with the attribute code.
StatusConfirmed or To review.
Tip
Review the rows with high coverage first; the rest can keep the proposal. To accept every proposal still to review, click More actions > Confirm all proposals.
Note
A proposed new attribute is created when you confirm its row. The mapping applies to the import and to every later update from Shopify. To change it later, click More actions > Change mapping on the Products and variants row of Setup and flows.

Import your products

By default every product comes in, whatever its status. Rules narrow the selection.

Steps

  1. In the setup wizard, click Products.
  2. Optional: under Which products, click Add rule for each condition:
    1. Choose Include or Exclude.
    2. Choose the field: Status, Tag, Vendor, Product type, Collection ID or Metafield. For a metafield, enter its key as namespace.key.
    3. Enter or choose the Value.
  3. Click Count products to see how many products the rules pick.
  4. Under Test on 20 products, click Run test. Nucleo imports 20 products with your rules, including the one with the most variants. Check them in Catalog.
  5. Under Full import, click Import all, and then click Import all again to confirm.

The full import shows its progress and resumes where it stopped if it's interrupted. When it's done, the step shows how many products are in Nucleo and how many on Shopify.

Note
A product already in Nucleo is updated, not duplicated. After the import, changes made to products in Shopify keep reaching Nucleo, with a nightly check for anything missed, as long as the products flow reads from Shopify. A product deleted in Shopify leaves the Shopify channel and stays in your catalog; when Nucleo sends products to Shopify, it's created again on Shopify instead.

Import collections and prices

Steps

  1. In the setup wizard, click Prices, and then, under Prices by market, click Import prices. Prices set per market in Shopify go into a price list per market.
  2. Click Collections, and then click Import collections. Your Shopify collections become Catalog categories, with their products.
Note
An automated collection becomes a smart category when its conditions can be translated. Price lists are managed in Pricing.

Import stock, customers and order history

The last step works on the Commerce side. It needs a Shopify connection in Commerce for your store; without one, the step says that locations, customers and orders come in once it's connected.

At the top, a notice tells you whether Record only is on for the connection. Click Open the connection to change it. See Record Shopify orders without processing them.

Steps

  1. In the setup wizard, click Stock, and then, under Locations and stock, click Read locations.
  2. For each Shopify location, choose a Nucleo location, New location to create one with the Shopify name, or Ignore.
  3. Click Save locations, and then click Import stock. Import stock is available once at least one location is linked.
  4. Click Customers, and then click Import customers. Customers come in with their consents.
  5. Click Orders. Under Order history, optional: in From, choose the date to start from. Leave it empty to import the whole history.
  6. Click Import history.

Past orders and returns come in already closed, with the status Recorded: no routing, warehouses or partner events. After the import, stock and customers keep updating as they change in Shopify, as long as their flow reads from Shopify. A location you link publishes Nucleo stock to Shopify only when the stock direction writes to Shopify.

Choose who updates whom

Each row of Setup and flows has a Direction and, for Catalog flows, an Update cadence. The direction is the only switch for what Nucleo writes to Shopify: the source of a flow controls it fully, changes and deletions included.

DirectionWhat happens
Shopify → NucleoShopify updates Nucleo. Nothing is written to Shopify. This is where every flow starts.
Nucleo → ShopifyNucleo updates Shopify, and changes made in Shopify aren't read.
Both waysEach side updates the other; the latest change wins.
IgnoredThe flow is neither read from Shopify nor sent to it.
  • Products and variants, Collections, Prices by market and Locations and stock offer all four directions.
  • Orders and returns start on Shopify: they're always read, and Both ways lets Nucleo send fulfillments, cancellations and refunds back.
  • Update is Automatic (products only: every change as it happens), Every night or Manual only (you run Resync yourself).

Steps

  1. On the Shopify connection, in Setup and flows, open the Direction menu of a flow and pick a direction.
  2. If the new direction writes to Shopify, read Write … to Shopify? and click Write to Shopify to confirm.
  3. Optional: in Update, choose how often the flow updates.
Caution
Once a flow writes to Shopify, every change made in Nucleo reaches the real Shopify shop, deletions included: what you delete or trash in Nucleo is deleted on Shopify, and Shopify can't undo it. Only products published on the Shopify channel are sent.
Note
A completed stock count in the POS is always sent to Shopify, whatever the Locations and stock direction. With Both ways, a price that Shopify sends back unchanged after Nucleo updated it doesn't overwrite Nucleo: only a change made on Shopify does.

Follow the flows

The Setup and flows card of the Shopify connection shows who updates whom, how often and how it's going, one row per flow: Markets, Products and variants, Collections, Prices by market, and, when Commerce has a Shopify connection, Locations and stock, Customers and Orders and returns.

ColumnWhat it shows
StatusIn progress, Up to date, Error, Off when the connection is paused, or Not started.
Last updateWhen the flow last finished or, for products, last received a change.
RecordsHow many records came in. For products, the count in Nucleo and on Shopify.
ErrorsHow many errors, with the last message. For products, it includes Shopify notices that failed in the last 7 days.

Each row has More actions:

  • Realign runs the step again.
  • Change mapping, on Products and variants only, opens the Tag and metafield mapping page.
  • Turn off pauses the connection behind the flow, after you confirm.
Caution
Turn off pauses the whole Shopify connection of its module, not just one row. On a Catalog flow, products stop updating; on a Commerce flow, orders, stock and customers stop updating, until you turn the connection back on.
