Reading your email in Mail

Inbox > Mail shows your connected Gmail mailbox inside Brain, one row per conversation thread, already sorted by Nucleo into work email, alerts, promotions and spam. You read threads here next to your CRM, correct how an email was sorted, and create a deal from an email in one click.

Mail is for reading and sorting. To reply to an email, use the Reply suggestion on your Home: see Reply to an email from the Home.

Connect your Gmail

Gmail is the mailbox you can connect today. Each person connects their own Google account; connecting needs the permission to connect a mailbox in your role.

Steps

  1. In Nucleo, go to Brain > Settings > Integrations. The Connections page opens. You can also use the Gmail (Inbox) step of the checklist on your Home.
  2. In Library, click Connect on Gmail (Inbox).
  3. Click Connect Gmail.
  4. Sign in with your Google account and allow the access Google asks for. Write access is what lets you send replies from Nucleo.
  5. Back in Nucleo, in History to import, choose how far back to go:
    1. From now on
    2. Last 3 months
    3. Last 12 months (the default)
    4. Everything

The first sync starts shortly. The card shows how many emails were imported and when the last sync ran. Older history is imported in the background, so it can take a while for a large mailbox. After that, new emails keep arriving on their own.

  • To fetch new emails immediately, click Sync now on the connection's page, or Refresh now in Mail.
  • To change the history, pick another option: the import restarts in the background from the new start.
  • To stop reading your mailbox, click Disconnect.

Tabs in Mail

Four tabs at the top of the list keep work email apart from the noise:

TabWhat it contains
MailYour work email: everything except alerts, newsletters, promotions and spam.
AlertsAutomatic notifications from systems and tools, such as orders, monitoring or ticketing notices.
PromoNewsletters you subscribed to and legitimate marketing emails.
SpamEmails Nucleo is sure are spam, and emails Gmail itself flagged as spam.

How emails end up in each tab is explained in Automatic email handling.

Read the Mail list

ColumnWhat it shows
FromThe sender's name and email address.
SubjectThe subject, with the number of messages in the thread and the number of attachments when there are some.
CategoryWhat kind of email it is, such as New lead, Customer, Support, Supplier or Internal, with up to two tags.
Statusbusiness for work email linked to the CRM, pending for email not linked yet, dismissed for email you set aside.
Last messageDate and time of the latest message.

The list shows 50 threads per page. Use the pagination controls under the table to move between pages.

Find an email

Steps

  1. In Nucleo, go to Brain > Inbox > Mail.
  2. Click the tab you want: Mail, Alerts, Promo or Spam.
  3. In Search subject or sender…, type part of the subject or of the sender, and press Enter.
  4. Optional: Click the filters icon and narrow the list:
    1. Status: All statuses, business, pending or dismissed. Only on the Mail tab.
    2. Category: All categories or one category, such as New lead or Supplier. Only on the Mail tab.
    3. Direction: In & out, Inbound or Outbound.

Read a thread

Steps

  1. In Nucleo, go to Brain > Inbox > Mail.
  2. Click a row. The whole thread opens in a side panel, with the number of messages at the top.
  3. Click a message to expand or collapse it. The message you opened is expanded already.
  4. To open an attachment, click its name above the message text. It opens in a new tab.
Note
Email content is shown in a protected frame, so scripts and tracking in the email don't run inside Nucleo.

Move an email to another tab

If Nucleo put an email in the wrong place, move it. Nucleo learns from each correction: the sender's next emails go straight to the tab you chose.

Steps

  1. Open the thread from Mail.
  2. At the top of the panel, click where it belongs:
    1. Spam moves it to Spam.
    2. Promotion moves it to Promo.
    3. Alert moves it to Alerts.
    4. Move to Mail moves it back to your work email. On the Spam tab, the button is Not spam.

The email leaves the current tab and a message confirms where it went.

Create a deal from an email

Steps

  1. Open the thread from Mail.
  2. Click Create deal.

Nucleo reads the email and creates a deal with the company, the contact and the value when the email states one, links the thread to it and opens the deal. Review it and complete what's missing. See Deals and pipeline.

Dismiss an email

Dismiss a thread you don't need to act on. Open it and click Dismiss. The thread stays in Mail with the dismissed status, struck through, so you can still find it with the Status filter.

Considerations for Mail

  • Only you see your mailbox. Owners and Admins don't see your email.
  • Mail shows email; it doesn't send it. Replies are prepared from Home suggestions or by Atomo, and wait in Drafts.
  • Emails you delete in Gmail are removed from Nucleo too.
  • If Gmail isn't connected, Mail shows a message instead of the list. Connect Gmail as described in Connect your Gmail.
