Banks and cash

Banks shows how much cash your company has right now and how it moved over the last 12 months. It brings together your current accounts, prepaid cards, PayPal and Stripe, read from your bank statements and from the banks and payment accounts you connect.

You find it under Brain > Finance > Banks. Like the rest of Finance, it needs the View finance permission; connecting banks and syncing them also need Manage finance.

Read your cash

The Cash panel shows the total at the top: the balance of your euro current accounts, prepaid cards, PayPal and Stripe. Credit cards are listed but not added, because they are debited on the current account. The subtitle says the date of the oldest balance in the total.

ColumnWhat it shows
AccountThe bank account, card or payment account.
TypeCurrent account, Credit card, Prepaid card, PayPal, Stripe or Other.
BalanceThe latest balance known for the account.
As ofThe date of that balance.
StatementsHow many statements were read for the account. … to check marks statements whose figures don't add up: the opening balance plus the movements doesn't give the closing balance.
In cashYes when the account counts in the total, No (debited on the current account) for credit cards.

Money in and out, at the bottom of the page, lists the last 12 months with what came In, what went Out and the Net, for your euro accounts. A movement read both from a statement and from a connected bank counts once.

Where the figures come from

SourceHow it reaches Brain
Bank statementsBrain reads the statements your company keeps in Google Drive, in a Statements folder organized by year and then by account, every night. Setting up the folder is done with the Nucleo team.
Connected banksBalances and movements read directly from the bank, twice a day, once you authorize the bank. See Connect a bank.
Stripe and PayPalBalance and movements, net of fees, twice a day, once their keys are added in Connections.
Note
When the statement covering some days arrives, it becomes the official source for those days: movements read from the bank for the same days stop counting, so nothing is doubled. Brain keeps only the last 4 digits of each IBAN.

Connect a bank

Banks connect through open banking, with read-only access to balances and movements. It works through Enable Banking: someone who manages connections must first add its application in Connections. Until then, the Banks connected (open banking) panel says so.

Steps

  1. In Nucleo, go to Brain > Finance > Banks.
  2. In Banks connected (open banking), click Connect a bank.
  3. In Search your bank, type your bank's name, and then click it.
  4. On your bank's site, sign in and authorize read access to your accounts.

Back in Brain, a message confirms the connection, and the bank appears in the panel with its accounts, the date the consent ends and the last sync. Brain then reads it twice a day; the first time it reads the last 90 days.

Note
The bank's consent lasts up to 180 days. When it expires, the bank shows Consent expired: click Renew consent and authorize again on the bank's site.

Sync now or disconnect a bank

  • To read every bank, Stripe and PayPal right away, click Sync now in the Cash panel. The sync runs in the background: you can leave the page, and a message tells you how many new movements came in, or which sources had an error.
  • To stop reading a bank, click Disconnect on its row, and then Disconnect again to confirm. Accounts, balances and movements already read stay in Brain.

A bank with a problem shows Error and the reason under its row. An error on one account doesn't stop the others.
