Booking pages

A booking page is a personal page with a public link. Share it with a client or a prospect and they pick a free slot from your real availability, without back-and-forth emails. You find your pages and the appointments they received in Calendar > Booking.

You need access to Calendar in your role to see booking pages, and permission to manage the calendar to create, edit or delete them and to cancel appointments. You manage your own pages; Owners and Admins can manage everyone's.

Note
Booking pages need your Google Calendar connected with permission to create events. Without it, slots can't check your busy time and no event is created. See Connect Google Calendar.

Create a booking page

Steps

  1. In Nucleo, go to Brain > Calendar > Booking.
  2. Click New booking page.
  3. Enter a Title, such as Intro call. It can be up to 120 characters.
  4. Optional: Enter a Link slug, such as intro-call, using lowercase letters, numbers and hyphens. If you leave it empty, it's made from the title.
  5. Optional: Enter a Description. It's shown in the table and on the public page.
  6. Optional: In Co-hosts, click Add co-host and pick colleagues, up to 10. Their Google Calendars are checked too, and they're invited to the event.
  7. In Duration (min), enter how long the meeting lasts, from 5 to 480 minutes. The default is 30.
  8. In Where, choose the Location:
    1. Google Meet (link created automatically).
    2. Phone call, with the Phone number.
    3. In person or Custom, with the Address / details.
  9. In Weekly availability, set the time windows for each day. Add a second window for a day, for example to leave out lunch, or remove all windows to make a day Unavailable. By default, Monday to Friday are open from 09:00 to 13:00 and from 14:00 to 18:00.
  10. Complete the booking rules. See Booking rules.
  11. Optional: In Questions for the invitee, click Add question, write the question, choose a Type (Short text, Long text or Phone) and turn on Required if needed. You can add up to 10.
  12. Optional: Write the Confirmation message, shown after booking and in the confirmation email.
  13. Make sure Page active (public link works) is on.
  14. Click Create page.

The page appears in Booking pages. Click Copy link on its row to copy the public link and share it.

Note
Name and email are always asked on the public page; phone and company are optional. You don't need questions for them.

Steps

  1. In Nucleo, go to Brain > Calendar > Booking.
  2. On the page's row, do one of the following:
    1. To change it, click the pencil icon, edit the fields and click Save.
    2. To stop taking bookings for a while, edit it, turn off Page active (public link works) and click Save. The page shows Off.
    3. To remove it, click the trash icon and confirm with Delete.
Caution
When you delete a page, its public link stops working. Past bookings stay in the CRM.

What happens when someone books

  • The event is created in your Google Calendar, with a Google Meet link when you chose Google Meet, and every host and the invitee are invited.
  • The invitee receives a confirmation email with a personal link to manage the booking, and a reminder about 24 hours before the appointment.
  • You and your co-hosts get a notification, and the appointment appears under Bookings.
  • The person is added to the CRM as a lead, with the meeting on their timeline. Once the meeting has taken place, the lead becomes one of your contacts.

See and cancel appointments

Under Bookings, use View to switch between Upcoming, Past and Cancelled. Each appointment shows When, the booking Page, Who booked with their email and company, the Host, a Join button for video meetings and the Status. Click the person's name to open their contact.

Steps

  1. In Nucleo, go to Brain > Calendar > Booking.
  2. Under Bookings, find the appointment.
  3. Click Cancel on its row.
  4. In the confirmation, click Cancel appointment.
Caution
The invitee receives a cancellation email and the event is removed from the calendar. You can't undo a cancellation: the invitee has to book again.
