Writing and publishing pages

Area owners write and publish pages directly. Everyone else proposes: a new page with Propose a page, or a change to an existing page with Propose a change. Proposals go to the area owners, who review them in Proposals.

Write and publish a page

You need to be an owner of the area, an Owner or an Admin.

Steps

  1. In Nucleo, go to Brain > Knowledge > Pages, and select the area.
  2. Click New page. The editor opens.
  3. Write a clear title that says what the page is about.
  4. Write the summary: one or two sentences on what the page says and when someone needs it. It's shown in lists and search results, and Atomo uses it.
  5. Write the text. You can use headings, lists, tables, links and code.
  6. In Classification:
    1. Choose the Area.
    2. Choose the Type: Procedure, Policy, Guide, Reference, Decision, FAQ or Template.
    3. In Tags, type a tag and press Enter. Tags already in use are suggested.
  7. In Publishing:
    1. Optional: Pick a Publication date. A future date schedules the page: it goes live that morning. Leave it empty to publish when you click Publish.
    2. Optional: Pick a Review by date. The owner is reminded a week before.
    3. In Visible to, keep Same as area or choose Everyone, Employees only or Area owners only.
    4. In Owner, choose the person accountable for keeping the page true, or keep Area owners.
  8. Optional: In Related pages, search for pages to link.
  9. Do one of the following:
    1. Click Save draft to keep working on it later. Only the area owners see drafts.
    2. Click Publish, or Schedule for the date you picked.

Write a page in English and Italian

Every page can live in two languages: English (base) is the main text and Italiano is the translation. Tabs at the top of the editor switch between them, and a green dot shows which ones are filled in.

  • Fill in what you can. Where the Italian version is missing, people reading in Italian see the English text.
  • If you start an Italian version, give it a title too, or empty it completely.

Edit or archive a page

Steps

  1. Open the page.
  2. Do one of the following:
    1. Click Edit, change what you need, describe it in What changed (shown in the version history) and click Save.
    2. Click Archive to take the page out of use.
Note
Archiving happens right away, without a confirmation. An archived page is no longer visible to readers but stays in the version history. To bring it back, edit it and set Status to Published.

Propose a new page

If you don't own the area, propose the page to its owners.

Steps

  1. In Nucleo, go to Brain > Knowledge > Pages, and select the area.
  2. Click Propose a page.
  3. Enter a Title and the Text (Markdown).
  4. Optional: In Why (optional), explain where it comes from, for example a decision taken in a call.
  5. Click Send proposal.

The area owners are notified and find your proposal in Knowledge > Proposals.

Propose a change to a page

Steps

  1. Open the page you want to improve.
  2. Click Propose a change.
  3. In Your changes, edit the text.
  4. In Why, say where the change comes from or what was wrong or missing.
  5. Click Send to the area owners.

You can follow your proposal in Knowledge > Proposals. When an owner decides, the proposal shows Approved or Rejected, with their note if they left one.

Considerations for writing pages

  • When you explain a rule, a procedure or a decision to Atomo that Knowledge doesn't have yet, Atomo offers to save it as a proposal for the area owners.
  • A page whose review date is within 7 days, or past, raises a reminder to its owner, on the notification bell, on the Home board and in the morning email. It closes when you move the date forward, update the page with a new date or archive it. Pages without a review date never remind anyone.
  • When a proposal is approved, everyone who can see the page gets a notification.
