Receiving a transfer

Stores receive goods in Shopify as usual. Nucleo picks up the receiving results and turns them into something you can act on: every expected line — product, size, expected quantity — is set against what was actually accepted, and every difference gets a name.

How receiving works

Steps

  1. Receive the transfer in Shopify, line by line, as you do today.
  2. In Nucleo, go to Commerce > Stores > Movements > All movements and click More actions > Sync Shopify, or wait a couple of minutes for the list to update on its own.
  3. Open the movement. The Accepted and Not found counters and the Products table show the result.
  4. If units weren't found, record why. See Record why units were not found.

Read the receiving results

ResultWhat it means
MatchedThe received quantities match the transfer completely.
ShortUnits expected but missing at receiving.
OverUnits received in excess of the expected quantity of a listed item.
Not foundUnits the store couldn't find in the shipment.
Off-listItems recorded as received that weren't on the transfer.
PendingA line that hasn't been received yet.
Note
"Not found" is deliberate wording: the store isn't rejecting a piece, it simply isn't in the box.

Record why units were not found

Recording the reason tells the origin warehouse what to do next: open a carrier claim, replace a piece, correct the document.

Steps

  1. Open a completed movement.
  2. In the Products table, find the line with units in Not found. Filter Result on Not found to see only those lines.
  3. In Reason, click Select reason and choose one:
    1. Not received — the units weren't in the shipment.
    2. Defective — the units arrived damaged.
    3. Does not match — what arrived isn't what the line says.
    4. Excess — the units were sent by mistake.

The reason is saved at once and everyone who opens the movement sees it.

Note
The Reason column appears only when some units weren't found. You can set a reason only on a completed transfer, and only with the Agent or Admin role; otherwise the column shows the reason read-only.

Check a partial receipt

When a transfer in transit has been received only in part, the movement shows a Partial receipt card above the products, with a summary such as 3 units still in transit and, if any, how many extra units arrived.

The card lists the lines concerned, with Expected, Received, Missing and Extra for each product.

Review the items that differ from the packing list

The Items not on this transfer card collects, in one place, everything that differs from the Shopify packing list: extra items received that weren't on the transfer, and expected items not yet received or not found. Each row shows the product, Expected, Received and its status: Off-list, Not found or Missing.

Tip
Start from this card when you call the warehouse: it's the complete list of what to discuss, without scrolling through every matched line.
